Education · Illustrative scenario
Illustrative: a training institute gets control of admissions inquiries and fee follow-up
How an institute could answer every admission inquiry quickly and stop fee recovery depending on one person's notebook.
This is an illustrative scenario, not a delivered project. It is built from situations we commonly see, to show how we would approach the problem. The client is not real and no results are claimed.
The situation
Admission inquiries arrive by call, Facebook message and WhatsApp. Counsellors reply when they can. Nobody can say how many inquiries became admissions this month. Fees are chased from a notebook, so late payers are found late, and attendance sits in separate registers per batch.
What we would do
We would begin by giving every inquiry an owner and a status, because that is usually the cheapest leak to close. Next comes a student record per admission, linked to batch, attendance and fees. Automated WhatsApp messages would handle first replies and fee reminders, with a person taking over for real conversations. Reports for the director come last, once the data underneath is trustworthy.
What we would build
- One inquiry pipeline for calls, messages and forms
- Admission and student records
- Batch schedules and daily attendance
- Fee plans with reminders and balance tracking
- A director view of inquiries, admissions and outstanding fees
What we would measure
About these measures: Illustrative measures to baseline before go-live and review monthly. No outcomes are claimed because this is a scenario, not a delivered project.
